Start with your travelers and priorities
Tell us who is traveling, your approximate dates and what draws you to East Africa. Wildlife, landscapes, heritage, a slower coast stay or a combination can all shape the discussion. Include a comfortable budget direction if you have one; “not sure yet” is a useful starting answer. We do not need sensitive documents to understand your idea.
Explain the pace you enjoy and any practical arrangements you want checked. For example, a preference for fewer hotel changes is more useful than an ambitious list of every park. Family rooming, dietary requests and access questions belong in the planning conversation, with specific support confirmed in the proposal.
Give the route room to work
We discuss how your priorities fit the available days. A destination can be attractive on its own and still be awkward to add to a particular journey. Compare the entire transfer day, including airport changes, check-in and time to settle, before choosing road or air. Suggested sequences remain proposals until transport and accommodation availability are checked.
The aim is a coherent journey with fewer disconnected bookings and a clear reason for each stop. If the route feels rushed, consider dropping a base, extending the trip or changing its emphasis. These are decisions to make together, not promises of a fixed schedule from an illustrative website itinerary.
Compare the accommodation and activity details
A room name or park name rarely explains the whole experience. Discuss accommodation location, room configuration, meals, transfer arrangements and the activities you actually want. Guiding, permits, flight coordination, airport meet-and-greet and in-trip contacts should be explicitly discussed and confirmed where applicable.
Ask what is private or shared, who operates each service, and which restrictions or seasonal conditions could affect it. RoamAfrika does not claim ownership of lodges or vehicles, exclusive access, guaranteed permits or wildlife encounters. A supplier arrangement must be confirmed before it becomes part of an agreed trip.
Review an itemized proposal
Your quote should make the currency, traveler count, dates, rooming, transport and included services understandable. Review exclusions alongside inclusions, and ask about any line whose purpose is unclear. Optional activities should not be confused with confirmed services. Tax or discount amounts, where applicable, need explicit explanation rather than assumptions.
Check validity, availability conditions, payment arrangements and cancellation terms before deciding. A revised proposal receives its own version so the agreed details can be identified. Comparing the same travelers, dates and inclusions is more useful than comparing a headline total across different trips.
Confirm the arrangements and next steps
A planning inquiry or draft quote is not a booking. Arrangements are confirmed only after availability, final terms and payment arrangements have been agreed. The confirmed itinerary and relevant contacts should reflect that agreement; a change should be discussed and recorded.
Before departure, verify current entry requirements through official government sources, consult qualified health professionals where appropriate, and review insurance wording for your actual activities. Discuss which trip coordination contacts will be available and when. Do not assume emergency cover, round-the-clock support or services that are not explicitly confirmed.
Bring us your starting point
Send your month, possible destinations, number of travelers and the experience you most want to make room for. If you are comparing countries, say what is making the choice difficult. We can use that starting point to organize the next planning questions.
