How to compare safari quotes: a practical review worksheet

Compare actual rooms, transfers, access, activities and booking status so differences between safari proposals become clear before you decide.

Compare promises before totals

The first task in comparing safari quotes is to establish whether they describe the same holiday. Similar titles and night counts can conceal different rooms, access, guiding and transfer arrangements. A lower total may be entirely appropriate for your priorities, or it may omit something you assumed was included. This guide gives you a method for making the differences visible. It is a review worksheet, not a ranking of operators or a prediction of what your trip should cost.

Begin with the latest version of each proposal and a blank comparison sheet. Use one column per proposal and one row per practical decision. Record what the document actually says, including an explicit unknown where information is missing. Do not fill a gap from a photograph, a sales conversation you cannot recall clearly or a feature on another itinerary. The value of the exercise is that it separates evidence from assumptions before you make a commitment.

Fix the comparison's starting assumptions

At the top of the sheet, write travel dates, number of travellers, ages where relevant and rooming needs. Identify the arrival and departure points included in the quoted journey. If international flights sit outside the proposal, say so. Then check whether both quotes use those same assumptions. A different date range, extra hotel night or alternative room configuration can explain a price difference before you reach the detailed inclusions.

Number the versions rather than relying on filenames such as final or revised. If a planner changes one element, ask for a refreshed written proposal that shows its effect on the whole journey. Keep the older version for comparison but do not combine its appealing parts with the newer price. A quote should be assessed as a coherent set of arrangements. Mixing details from several versions can create a holiday that nobody has actually offered.

Read each night as a location and a room

For every overnight stay, record the property, location, room category and sleeping arrangement. If the proposal allows a substitute, ask how it will be chosen and what happens if it differs materially. A named destination is not the same as a named property, and a named property is not the same as a confirmed room. Ask which stage has been reached: suggested, available when checked, held under stated terms or confirmed.

Next, connect the room to the following day's activity. A base farther from the intended viewing area may change the morning or make a return for lunch less practical. That may suit you, but it belongs in the comparison. If mobility, privacy or family supervision matters, record the specific information received about the room and paths. Do not award a proposal an accessibility or comfort advantage merely because its descriptive language sounds more confident.

Trace every handover

Write the transfer sequence from the first meeting point to the final drop-off. Identify the provider or coordinating party, transport mode and whether you change vehicles or airports. For flights, record the actual departure and arrival points, not simply a regional label. Ask what happens to luggage and who meets you. A small missing transfer can have a large effect on how manageable the day feels.

Also ask how delays are handled across arrangements. The purpose is not to demand that every uncertainty disappear; it is to know who communicates and what the proposed sequence assumes. AirKenya's terms note that schedules and airports can change and that operating-carrier conditions matter. That is a concrete reason to examine the actual booking terms for a flight component. It does not establish the responsibilities or policies of every other provider in the journey.

Separate access from activities

List every park, reserve and conservancy the proposal intends you to enter. Then identify which access charges are included and whether the quoted activity takes place in that same area. Do not assume a camp's regional name implies entry to every nearby protected area. If an itinerary says game drive, ask who supplies the vehicle and guide and whether the arrangement is private or shared. These details should appear before you compare the value of two totals.

Akagera's pricing separates park entry, vehicles, guiding and activities, including different boat arrangements. On a comparison sheet, that means a line reading park visit is incomplete beside a proposal that separately includes entry, a vehicle, a guide and a boat trip. Mark each of those items against both offers. If the first offer excludes the boat, compare totals without it or obtain the additional price before deciding. This worked method exposes a concrete difference in the day; it avoids assigning value merely to the proposal with the longer description.

Check what the activity description means

For a permit-dependent or specialist experience, record its name, location, proposed date and booking status. Ask about participation requirements and any separate transfer. A general promise of gorilla trekking, a boat trip or a guided walk is incomplete if the relevant availability has not been established. Keep optional experiences visibly separate from those included in the total. Otherwise, a long itinerary can appear richer than the actual arrangement being quoted.

Evaluate the timing as well as the inclusion. An activity may technically fit but leave little room for meals, rest or the onward journey. Ask whether it is realistic for your party and whether a simpler day would be more useful. Do not choose a quote because it has the most bullet points. Choose it because the activities you value are feasible, appropriately supported and given enough attention to be worth doing.

Audit baggage, equipment and everyday needs

Where small-aircraft travel is involved, check the actual carrier's baggage policy before assuming your international allowance continues. AirKenya's published policy, for example, distinguishes baggage from certain assistive devices and discusses advance arrangements for additional freight. It is evidence that these categories need separate attention, not a universal rule across East Africa. Ask for confirmation on every relevant flight, especially if you carry specialist equipment.

Record meal plans, dietary arrangements and practical room needs beside the relevant stay. If something is essential, ask for an explicit answer rather than an informal note that it should be fine. Clarify what remains outside the quoted total, such as optional experiences or meals not included. You do not need to invent a daily spending allowance to compare quotes; first identify the categories that your party will need to consider separately.

Review terms before the preferred option becomes a booking

Locate the quote's validity, payment stages, cancellation terms and change process. Ask what payment confirms and whether some components remain provisional. Supplier conditions may differ, so a journey can contain several sets of terms that need explanation. Akagera's published booking policy, for instance, distinguishes customer cancellation from cancellation by park management. That specific example shows why a single word such as refundable is insufficient without the circumstances attached.

If an answer affects your decision, obtain it in writing and keep it with the proposal version you accept. This is ordinary record-keeping, not a substitute for legal or insurance advice. Where you need advice about a contract or insurance coverage, use an appropriately qualified source or the provider's actual wording. Do not assume that travel insurance resolves every reason a trip could change, or that a planner's general assurance establishes the terms of a policy.

Make the choice through priorities and open questions

When the sheet is complete, identify the meaningful differences rather than count the number of inclusions. One proposal may protect more time at a wildlife base; another may offer rooming that better suits the family. A third may cost less because you have chosen a simpler arrangement. Any of those could be the right answer. The comparison should let you explain the preference in practical terms.

Send RoamAfrika the questions you still need resolved, together with your dates, party and non-negotiable needs. If comparing proposals, share only information you are authorized and comfortable to share. Ask for a clear written response and a coherent revised quote where changes are agreed. The next step is approval of an understood arrangement, followed by the stated confirmation process. An inquiry or an attractive total alone should not be treated as a completed booking.
